Asset Control
Run a verification campaign end to end — scoped, scanned offline, evidence captured so it cannot be altered afterwards, discrepancies investigated on the record, and a bound report pack for the audit file.
A capability of ProcureTrail, configured by Kiren & Co as part of your professional engagement. It can be configured as part of an engagement on its own or alongside other ProcureTrail controls, depending on your organisation’s requirements. How the system fits together →
The auditor asked how you verified these assets. You have a spreadsheet, and photographs on somebody’s phone.
Your register says the asset is in Plant 2. Nobody has physically confirmed that in years.
Last year’s count found forty items missing. Nobody can now say what was done about them.
Every item below is in the software today.
Create annual, half-yearly, quarterly or one-off campaigns, scoped by department, by location or by asset classification, and assign them to the people doing the work.
A phone-browser scanner with an offline queue and local storage. It keeps working with no signal and syncs when connectivity returns. Nothing to install from an app store.
Photographs are written once and hashed with SHA-256. There is no edit path and no delete path — the record is fixed at the point of capture.
Not found, moved or in poor condition raises a discrepancy that moves through investigation, review, escalation and resolution — each step recorded against the asset.
Generate tags in bulk, print label sheets, record what was tagged and when, re-tag damaged labels and decommission tags on disposal, with a print history.
A bound PDF report pack and a working-paper workbook covering scope, outcomes, discrepancies and resolutions.
The output is the part your auditor keeps. We will show you the real artefacts before you commit to anything.
Campaign scope, coverage, outcomes per asset, discrepancy register and resolutions — formatted for the audit file.
The supporting schedules behind the pack, one tab per working area.
Scoping, scanning with the device offline, syncing, and a discrepancy taken through to resolution.
Proper records showing full particulars, including quantitative detail and the location of property, plant and equipment.
Physical verification at reasonable intervals, with material discrepancies investigated and properly accounted for. The auditor must state whether the interval is reasonable.
The value of a verification record is that it can be relied upon afterwards. Records here are attributed, timestamped and fixed at capture.
Auditors commonly expect fixed assets to be verified on a defined, documented cycle rather than ad hoc. Oparc supports annual, half-yearly, quarterly and special campaigns.
Turned on per organisation. Same register, same audit trail, same login — no second system, no migration.
You define the scope — by department, by location, or by asset classification. The system creates assignments for the people doing the counting. They scan QR tags on a phone browser, record what they find, and attach photographs. The system tracks which assets were verified, which were not found, and which were skipped, and holds the evidence against each one.
Yes. The scanner is a progressive web app with an offline queue and a local store, so it keeps working in a plant, a basement or a warehouse with no connectivity. Records and photographs are held on the device and synced when a connection returns. There is no app to install from a store.
No. Photographic evidence is written once. There is no edit path and no delete path in the software, and each file is fingerprinted with a SHA-256 hash when it is stored. That is a property of how the records are built, not a setting an administrator can switch off.
It raises a discrepancy, which is a tracked item rather than a note. A discrepancy moves through investigation, review, escalation and resolution, and every step is recorded against the asset. The history stays attached to that asset for later verifications.
A bound PDF report pack for the audit file and a working-paper workbook covering the campaign scope, what was verified, what was not found, the discrepancies raised and how each was resolved.
No. Verification can be configured on its own for your organisation. If you later want the fixed asset register, depreciation, capital work-in-progress or accounting posting, those are switched on for the same assets — there is no second system and no migration.
Verification work concentrates between December and March. If you want it running for this financial year, the time to scope it is now.
